Vault
A secure place for IDs, insurance cards, school papers, receipts, and other household documents — with optional AI assist when you upload a scan.
What Vault is for
Store important documents once, then link them from Pets, School, Inventory, and elsewhere. Unlinking a document from another module does not delete it from Vault.
Records and document types
- Each item is a record with a title, category (Medical, Insurance, Education, Pets, and more), and a document type (for example passport or report card).
- Types can include structured fields (issuer, dates, policy numbers) so the household can find what they need quickly.
- Attach photos or PDFs to a record. Attachments stay with the record and can be downloaded later.
Who can see a record
Each record has a visibility setting. This controls who sees it in Vault — not whether the file is encrypted (see below).
- Private (default) — hidden from other household members. Visible to the profile owner, their manager (for example a parent managing a child), whoever created the record, and the household Owner and Super Admin.
- Household — visible to everyone in the household who can open Vault.
- Shared — visible only to the people you select, plus Owner and Super Admin.
You can also scope a record to a profile (for example a child’s school paper) or keep it household-wide. The visibility setting still applies on top of that scope.
Owner & Super Admin access to private records
Atlas is built for a shared family household. Private means private from other members — not hidden from the household Owner or Super Admin.
- Owner and Super Admin can see, open, edit, and delete every vault record in the household, including records marked Private that belong to someone else.
- They receive expiration reminders for those records too — useful for managing kids’ IDs, shared insurance, or recovery if someone is locked out.
- Admin and Member do not get this override. For a Private record that is not theirs, they will not see it.
Examples: a teen’s driver’s license (Private, on their profile) — the teen and their manager see it; Owner/Super Admin see it; siblings do not. A home insurance policy set to Household — everyone sees it.
Encryption vs visibility
Scanned photos and PDFs are encrypted in Vault. Everyone still unlocks Vault with their own vault password or PIN. Visibility decides who the record appears for in the app; encryption decides who can decrypt attachments after unlock.
Owner and Super Admin can reset household vault encryption if needed (for example recovery). That is separate from day-to-day visibility.
Different from Password Keeper & Calendar
- Password Keeper — a Private entry stays with the owner (and their manager). Owner and Super Admin do not get a backdoor into someone else’s private passwords.
- Calendar — a Private event stays with the event owner and their manager. Owner and Super Admin do not automatically see private calendar items.
Only Vault gives Owner and Super Admin full visibility into other people’s Private records — by design, for family document management and recovery.
Upload / Scan with AI
- From Vault, choose Upload / Scan (or New record for a blank form).
- Atlas may suggest a document type and fill fields from the photo or PDF. Review everything before you save — suggestions are not final until you confirm.
- On iPhone, start the file picker from a direct tap so the camera / photo sheet works reliably.
Expiration reminders
Set an expiration date and choose reminder offsets (such as 30, 14, 7, or 3 days before). You’ll get nudged before licenses, policies, or cards lapse.
Linking from other areas
- Pets — link vaccine cards and vet paperwork, or create a new vault record from the pet.
- School — link or add schedules, report cards, and permission slips (camera, gallery, or file on phone; choose file on computer).
- Inventory — attach receipts or photos to equipment for insurance reports.
